|
Nothing about records and information governance is formulaic, but our process is nicely templated and draws on our decades of real-world experience to break things down into bit-sized chunks. This way you can make decent progress pretty much straight out of the gate without ever having to reinvent the wheel! |
| Step 1: Talk Up the Benefits https://youtu.be/2E_MhVjtBlQ |
It’s hard to imagine that people in your organization don’t already recognize that doing information right is a good idea. But it’s also likely that nobody’s in a hurry to volunteer their time and energy to do anything about it. This can be addressed by putting a fine point on the benefits that can accrue by making solid operational arguments that are compelling and ultimately quantifiable. |
| Step 2: Take Stock https://youtu.be/cKg5BQNFJV4 |
One of the most difficult aspects of doing information right is being honest about determining where you are right now in terms of what you want to accomplish (your Current State), and being very clear about where you want to go (your Future State). It’s just like any other journey in that you can’t figure out how to get from here to there without first knowing where “here” is. Getting an outside perspective often is extremely helpful to avoid internal sensitivities (political or otherwise). |
| Step 3: Develop Your Road Map https://youtu.be/yuczlSOTloY
|
The analogy to a cross-country trip is a good one. You set your direction, you identify your destination, and you start planning for what’s in between. Your road map hangs the meat on these bones by detailing what has to happen to get from here to there. |
| Step 4: Stay the Course https://youtu.be/cdT7_-JACCE |
It’s easy to get lost or distracted when you’re down in the weeds of the planning and the doing, but you have to keep going or you’ll never get to where you want to be. I’m a long-time youth baseball coach, and I’ve always counselled my outfielders to keep their feet moving – even if they’re moving in the wrong direction! Remember the benefits conversations covered in Step 1, and use them to stay focused and committed. |
| Step 5: Keep it Going https://youtu.be/qzVRF80z14I |
Most organizations get through the first four steps and think they’re done. But they’re not! Information is constantly changing. Every day that goes by, there’s more of it. Every year that goes by, there are more sources of it. To keep pace, you have to circle back every year or two to see what’s still working, and where improvements can be made. Otherwise, you’ll be starting from scratch time and time again. |
| Conclusion: What Do We Do Next? https://youtu.be/twoAFpm-PTc |
The 5 Steps described in this video series and the special document you originally downloaded do not represent a stencil to be overlaid on every process or organization, and thus require something of a custom approach to succeed. But we’ve found that they are broadly applicable to every situation, and we’d love to learn more about what’s happening at your organization to see how we can help. Thanks for watching, and let’s talk soon! |
